GENERAL CONTEXT

Médecins Sans Frontières is an international independent medical-humanitarian organization, which offers assistance to populations in distress, to victims of natural or man-made disasters and to victims of armed conflict, without discrimination and irrespective of race, religion, creed or political affiliation.



The MSF movement is built around five operational directorates supported by MSF’s 24 sections, 24 associations and other offices together worldwide. MSF OCBA is one of those directorates. The operations are implemented by field teams and the mission coordination teams; together with the organizational units based in Barcelona, Athens and decentralised in Nairobi, Dakar and Amman. The field operations are guided and supported by 5 Operational Cells, the Emergency Unit and other departments supporting operations





JOB GENERAL OBJECTIVE AND CONTEXT

The main objective is to organization of returns from field international staff working for Operational Cells



Tutor: Preparation & Travel Area Coordinator.





MAIN RESPONSIBILITIES AND TASKS



• Treatment of staff documents (Personnel Documents, POL procedure, etc)

• Prepare documents for SCHENGEN Visa (support to PTO)

• Proceed with Hotel bookings

• Pay Perdiems

• Book tickets for Holidays and R&R in missions where is required

• Maintain some administrative Data Base

• Give support to PTO for return management of international staff from the field when required:




  1. Coordinate with his/her field counterparts (PTO/CFA/HRCo) and guarantee that travel procedures and visas are correct.


  2. Receive end of mission (EOM) forms and make them available to the Administrative Officer/HR Reference Person.


  3. Book flights and hotels.


  4. Apply for visas for all international staff.


  5. Prepare and send travel documents.


  6. Prepare and distribute Debriefing agenda.


  7. Manage database information (SAP).

Perfil/Requisitos


• Grade or post grade of Tourism studies or Event Coordination.

• Interest on & basic knowledge of the Humanitarian Action sector.

• Languages: English and Spanish. French desirable;
